How do you Organize and Transport tokens for Cons? 5 years 6 months ago #1

Now that I'm really driving upgrades for 6 people worth of tokens, I can already tell my existing binder sheet solution is not going to work well for organization, transportation, or storage.

How do you store tokens at cons for multiple people, sorted by individual characters, especially when you have tokens that cascade between fallback classes? Example - My cleric build falls back to paladin, then fighter if I can't play cleric or paladin. 80% of the tokens are the same, but I swap a few things at paladin, then a few more at fighter. Do you store the main character, and the mark pages with the swap tokens?

Follow up question is, what do you store them in where the tokens don't fall out? The binder sheets end up with lots of tokens sliding out unexpectedly.

How do you store trade goods / items you're sending in to mulch for trade goods? How do you organize them?

Do you do anything separate for loaner items for pugs?

Then put all your characters into the TD CharGen app so you don't have to pull out 100 tokens and lay them across all the different character mats

For transmutes and bits to mulch, I keep them in the snack ziplocs and have them all in a Home Depot bucket for easy transport.

I'm cheap save money for ticket kind of player. I use the 24 pocket cheap coin wallets for various builds. I do one or 2 if need be for each class and label accordingly. A p-touch and a laser printer helps a lot here. I use address labels to print out key stats such as HP, once a room/game abilities and stuff my players might need to tell DM's about.

Organizing wallets themselves i go front to back starting with weapons, then anything that would need to be shown in dungeon, think stuff like thieves tools and my beloved shadowskin. Once past conditionals or abilities then stat stuff goes in. That way if the build doesn't fit the only thing getting bumped to wallet #2 is just stat stuff that's there to show in coaching showing you have what you claim on the app/builders.

For stuff that goes between i keep a wallet marked swap, (example i have 3 RoH's and icecrags and just keep them in that wallet). See sticker/label method above that i'll mark where the RoH/other stuff is at.

Since you're the build organizer i wish you luck, yes the above method takes some time pre-con but it'll save you sanity and time (what's my hp? What does this token do?) during con and runs and with a system in place it's also pretty easy to basically reset the builds/put stuff away post con as it's weapons/special effects/stats no matter the build.

Use a heavy duty ziplock bag and i can fit a party set of builds securely in my con bag while walking the halls without shifting.

I used to carry several tackle trays in my bag, the weight and the time in coaching wasn't worth it. I'll carry a spare wallet of some specialty bits i think might be needed (think different dmg mitigation or types (bracers of frost vs fire)) and keep the trays in luggage/hotel room in case i have to do a wholesale build redo at con itself.

I'm at the point with my own build that i'm ready to upgrade and i still haven't found a binder solution i like that has a strap that i can wear in dungeon as i hate having to hold stuff in hands (the coin wallets fit in most any pocket) during the run. I want something that holds securely and i can expand/swap as necessary. Want a 1in binder with a adjustable shoulder strap and a cross strap. Kids binders either too bulky or fail to take the weight. Until I do i'm still using the wallets.

What may be of interest and i'm waiting on is Init systems (they do boardgame holders) has a half size unit with a strap that they've had at con to demo. When that releases this winter/spring i intend to try one out.

For mulching: I toss all my pulls at con into a bag (ice bags from hotel work well if i fail to bring a ziplock) and then sort at home for Jedi and scrap. I use a very basic excel sheet to help with list of trade goods, quantity on hand, quantity ready to send in,

I'll sort stuff into a keep/sort later and the scrap on my desk, I break down by type and if i have enough points i'll bag/label it and note it in the excel sheet, and toss all my labeled goods to be in a box to send out or take with me to con to turn in.

If i don't feel like labeling/counting points yet, i use a tray and just put the tokens in the relevant row in my box.

I can't recommend enough the IDS system from Flambeau. I use the t600 serious but there's others. They're cheap and durable (They'll hold 20lb's of tokens on the side while traveling to Gen Con and back and use in coaching). The big bonus is you can move the dividers anywhere you need them, no 'notches's or partial blocks due to where you normally have to stick the divider in normal tackle/art trays. Label rows/commons as needed with my p-touch, Seriously these things are awesome. I've busted 2 in past 6+ years, one when a full tray hit edge corner and shattered and once since my cat (30lbs) layed on open lid that wasn't laying flat. I use these for my storage as they stack and store and are small enough i can put 3=4 in my con bag if need be.

A sorta follow-up for the questions about transporting buckets of tokens for mulching- is it feasible to attempt if you end up having to fly to cons rather than driving? I can only imagine how TSA would react to a suitcase filled with tiny metal objects in baggies. XD

Phil, thank you for the TD Tavern plugs. I follow the same system. Token sheets inside of a token binder for my build. Once I show that to the coach I bag check my build. Then a handful of coin wallets for my consumables. I also have one coin wallet that I keep with me containing any tokens that I might need to show the DM.

With the new treasure-enhancer rules I have a money pouch where I store my Charms of Avarices and Silver Nuggets.

I can't recommend this case highly enough:

It will hold all primary builds and secondary builds etc. for all 6 players with room to spare. Players can be organized by column or row. It might not be pretty, but it's a $9 solution that will keep everything together and neat.

Pick up some wallets so you slot away tokens that need to be presented in the dungeon.

That 40 compartment container is amazing. I just got a few earlier this year. You can designate a slot to each compartment and fill with every token you might equip there (ie. Top left is 'head slot', has crown of expertise, rogue hood, defender helm, and crown of iron will; next compartment is eye slot has 5x lenses of heimdal sight, etc)
I equip 3 people currently, so i have one of these full of everything we would equip (except weapons), and then a second one full of loaner stuff that only gets brought if needed

I do have a third case that i keep 'fix it' consumables in. This keeps them sorted and easy to get to between dungeons (or on the table in grind), during dungeon i have one of each cure in my token bandolier.

They reacted OK to me, just asked what they were, but those were just my treasure bags. Now that I don't live local I will be doing the USPS flat rate box as described in the TEP pages. My bucket is already at 60 pounds so no way to get it on a plane.

Thanks all for the kind words and links to different items on my site. When it comes to organizing and transporting tokens, I use each of the things I sell on my site for various purposes.

For shelf storage and my collection, I use these Binders which hold these Token Binder Sheets .

There are multiple colors and three sizes for different needs. I use the smaller ones for my woodies, and the classic version for my chippies.

For the higher level tokens and transporting needs, I use these Token Carrying Cases which hold these Token Trays .

There are three different choices, two aluminum choices (6 & 12 trays) and one canvas one that holds 12 trays and has a shoulder strap. You can get the cases empty, or with trays included.

When it comes to going through airport security, I also use my see through Token Containers , which makes it easy for security to inspect my bags.

I use the token sheets Kirk and Trent sell, in a zippered 3 ring binder.

This makes it easy to pull out when going through airport security, and helps to show there is nothing behind there, etc.

I keep the tokens I may need to show during a run in my pocket in a token wallet.

I keep my TEs in there as well.

Based on this, I will probably either grab some of the tubes or coin wallets to start carrying consumables in.

I keep my weapons in my front pocket.
