Embassy blaming it on a flaw /Mistake or Error and doing a oops we're sorry but yeah mine got cancelled to. I intend to call tomorrow and bitch, this was a direct reservation placed with them. Why should I eat their mistake?

If you want to be "better safe than sorry" hotels.com has fully refundable inventory at The Conrad - king rooms for like $440 a night.

You can cancel until mid august with no charge, and you don't pay until the stay at the hotel.

I've used Hotels.com several times in the past and had no problems (but it would be wise to call to confirm the registration as time approaches).

I'm holding a room there until the housing lottery.

Yeah I did some searching and found Comfort Suites City Center for $319 as a backup. That is on the other side of Lucas Oil so hopefully the walk isn't too bad (at least to get to TD).

Here was the email from Embassy for the curious:

On Monday, August 22 the Embassy Suites Indianapolis Downtown discovered a system error that allowed reservations to be booked over dates we are fully committed for a citywide convention. Unfortunately, because of our contractual obligation to this organization, we are unable to honor any reservation made that include, but are not limited to the dates of August 15-20, 2017. Our Reservations Terms & Conditions policy states the following:

We reserve the right to cancel or modify reservations where it appears the customer has engaged in fraudulent or inappropriate activity or under other circumstances where it appears the reservations contain or resulted from a mistake or error.

The reservations were able to be made due to a reservation system error and thus, your reservation(s) will be cancelled. We sincerely apologize for this situation and understand the inconvenience this will cause. Please understand that we take this matter very seriously and are working diligently to resolve this issue to ensure that this does not happen again in the future. Thank you.

Yep, also received a cancellation. An unusual move, but I did see the one line in their policy that allowed cancellations due to mistake or error. I guess they decided to invoke that.

There's something profoundly funny about this thread.

- omg, getting hotel rooms for Gencon is a mess, there's never any available nearby, they're so expensive!

- omg rooms are available quick snap some up! And maybe a backup! Hell, a contingency backup to the backup!

Is that irony? It feels like irony, at least colloquially.

Don't get me wrong, as someone hoping to attend his second Gencon and that got *screwed* due to the housing portal cluster...shenanigans that happened leading up to 2015, I get wanting to have some firm plans in place.

Good luck to anyone trying to pursue this. At this point they obviously know they hold all the cards, those rooms won't go unfilled in August, and I'm not sure how many bridges I'd want to burn over a scheduling error 11 months in advance of the event.

Am reading updates from a lot of angry people on the Gen Con forum who also received cancellations. Several have called the hotel to no avail. The hotel is apologizing, but are citing the "fine print" in the cancellation policy.

Not sure if it is true, but one person was told they accidentally released rooms outside the convention block early. If that's true, then this is even worse. It would have no impact on their contract with Gen Con. It's just a matter of them not wanting to lose the cash of being able to charge inflated rates for those days.

I think what I'm going to do is complain to corporate headquarters and not directly to the hotel

I just reread the cancellation email and noticed that the sender has requested a receipt that I read it. My email system is asking me if I want to send the receipt.

I'm sorry, but in checking the fine print on my personal email policy I've noticed that "return receipts to emails delivered as a result of mistakes or errors originated by the sender shall only be sent at the discretion of the victim of said mistake or error." In other words, please continue to hold, I'm sure you'll see that receipt.........eventually.

I'm not angry about it. I believe it was an honest mistake that they forgot to block the dates.

At least they cancelled it now, and let me know, rather than waiting a few months.
